Privacy Policy

This Privacy Policy explains how Pantry Marketplaces Inc. ("Pantry," "we," "us") — the
Nashville, Tennessee company operating HirePantry.com and the Pantry marketplace — collects, uses, shares, and
protects information about event creators ("Creators"), food truck operators ("Operators"), and visitors. It
applies to our websites, applications, and services (the "Platform") and works together with our Terms of Service.
1. Information we collect
- Account information. Name, email address, phone number, and organization or business details
you provide when you sign up. Authentication is handled by our identity provider (Clerk), which processes
your login credentials on our behalf.
- Event details. What you tell us about your event so we can match it: date, time, headcount,
budget, cuisine and dietary preferences, venue location, and notes.
- Operator business information. For Operators: business name, menus and pricing, service
area, permits, licenses, insurance documentation, and tax information collected for vetting, compliance, and
payout reporting.
- Payment information. Payments are processed by Stripe. Your full card number and card
credentials go directly to Stripe and never touch Pantry's servers; we receive limited details such as card
brand, last four digits, and transaction status. Operator payout accounts are likewise held with Stripe.
- Messages — including moderation scanning. Messages you send through the Platform between
Creators and Operators. To protect the escrow and guarantee system, Platform messages are automatically
scanned, and may be redacted or flagged for review, to detect contact-information sharing and off-platform
payment solicitation before a booking is funded. Flagged messages may be reviewed by Pantry personnel.
- Location information. Venue coordinates for events and base/service-area locations for
Operators, used for matching trucks to events. On event day, Operator arrival status updates (for example
"en route" or "arrived") are shared with the event's Creator. We do not continuously track your device's
location.
- Usage data. Pages visited, features used, device and browser information, and log data,
used to keep the Platform working and improve it.
2. How we use information
- Matching: connecting events with suitable Operators based on cuisine, capacity, location, dietary needs, and performance history.
- Payments: collecting event payments into escrow, releasing Operator payouts, processing refunds, tips, and credits, and meeting tax-reporting obligations.
- Safety and anti-fraud: vetting Operators, moderating messages as described above, investigating disputes and resolution claims, and preventing fraud, abuse, and circumvention of booking protections.
- Communications: sending transactional email and SMS about your account and bookings (confirmations, proposal alerts, event-day updates, payout notices), and — with your consent where required — marketing you can opt out of at any time.
- Improvement: understanding how the Platform is used so we can fix problems and build better features.
We do not sell your personal information.
3. How we share information
With your booking counterparty. Marketplace bookings require sharing: Operators see the event
details needed to propose and prepare (date, headcount, neighborhood-level location, cuisines, dietary needs,
notes), and Creators see Operator business profiles (business name, menu, pricing, ratings, verification
status). Contact information — phone numbers, email addresses, and the exact venue address — is never shared before a booking is funded; it is released to the two parties on a booking only
after payment is in escrow.
With service providers that process data on our behalf under contract, currently including:
Stripe (payments and payouts), Clerk (authentication), Convex (application database and backend), Vercel
(hosting), Resend (transactional email), Twilio (SMS), and Anthropic (AI-assisted features such as message
moderation support and menu tooling). These providers may only use your data to provide their services to us.
For legal reasons. We may disclose information to comply with law, enforce our Terms, protect
the rights, safety, or property of Pantry, our users, or the public, or in connection with a merger,
acquisition, or sale of assets (in which case this Policy continues to apply to previously collected data
until updated).
4. Data retention
We keep personal information for as long as your account is active and as needed for the purposes above.
Booking, payment, and tax records are retained as required by law (typically seven years for financial
records). Message content is retained while the related account and booking records exist, including for
dispute resolution and moderation audit purposes. When data is no longer needed, we delete or de-identify it.
5. Security
We use industry-standard safeguards to protect your information: encryption in transit, access controls,
role-scoped data access inside the product (Creators and Operators each see only the pricing and details meant
for their side of a booking), and payment handling delegated to Stripe so card data never reaches our servers.
No system is perfectly secure; if we learn of a breach affecting your personal information, we will notify you
as required by law.
6. Your rights and choices
- Access and correction: you can view and update most account information in your account settings.
- Access and deletion requests: to request a copy of your data or deletion of your account and personal information, email support@hirepantry.com. We will verify your identity and respond within the time required by applicable law. Some records (for example, completed transaction records) must be retained even after account deletion.
- Marketing opt-out: unsubscribe links appear in every marketing email; reply STOP to opt out of marketing SMS. Transactional messages about bookings you have made will still be sent.
7. Children
The Platform is for adults. You must be at least 18 to create an account, and we do not knowingly collect
personal information from anyone under 18. If you believe a minor has provided us personal information,
contact us and we will delete it.
8. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email
or by a notice on the Platform before the changes take effect. The "Effective" date above reflects the current
version.
